Microsoft SharePoint is where teams create, edit and share documents every day. But multiple drafts, unclear approval statuses and inconsistent version control can make it difficult to distinguish working documents from officially approved records.

When compliance requirements apply, organisations need to know which version is valid, who approved it and when. Without a clear governance process, maintaining this level of control becomes difficult – increasing the risk of outdated documents, unclear responsibilities and gaps in audit trails.

The Solution

The MS SharePoint Bridge connects Microsoft SharePoint with Nuxeo, enabling organisations to govern documents without changing how their teams work.

Documents are created and edited in SharePoint as usual. Once submitted for approval, they are transferred automatically to Nuxeo, where predefined workflows manage review and approval. Approved documents are published back to SharePoint as controlled, read-only copies linked to their authoritative master records.

The integration also works in reverse: documents managed in Nuxeo can be published to SharePoint and kept up to date as approved versions change or documents are withdrawn.

The result is a consistent governance process across both platforms, with clear document statuses, traceable approvals and a single source of truth for every official document.

The Technology

The MS SharePoint Bridge combines the familiar Microsoft 365 environment with Nuxeo's content management and workflow capabilities.

• Automated document handover: Submit documents from SharePoint to Nuxeo without manual exports or uploads.
• Configurable approval workflows: Support single or multiple approvers, sequential or parallel reviews, and organisation-specific processes.
• Controlled document publishing: Return approved documents to SharePoint as stamped, read-only PDF copies with approval details and references to the master record.
• Two-way synchronisation: Publish governed documents from Nuxeo to SharePoint and keep published copies aligned with approved versions.
• Transparent document status: Make drafts, reviews, approvals and rejections visible where teams work.
• Complete version history: Preserve submissions, revisions, review outcomes and approval records throughout the document lifecycle.

Approval tasks can be handled in Nuxeo or, optionally, through Microsoft Teams. Access to SharePoint is limited to explicitly authorised sites, helping keep the integration focused on the relevant content.
